Check how it authenticates first. Everything else is a feature list, and that one question separates tools that survive platform changes from tools that do not.
The checks in the order we would do them:
- Authentication. Does it send you to Meta's own login screen, or does it ask for your Instagram password? The first is the official API. The second is scraping, and it breaks whenever the app changes and puts your account at risk.
- Which channels it really has. Most tools list a lot of logos. Ask which ones can receive messages, not just send them, because a channel that can only send is a broadcast tool with a logo.
- What happens when a channel disconnects. Tokens expire and permissions get revoked. A tool that tells you loudly is worth more than one that silently stops sending.
- Whether your data comes out. Contacts, conversations and flows. If the answer is a support ticket rather than an export button, you are renting your audience.
- Team and access. Two people in one inbox is the moment most small teams discover their tool assumed one user.
- Whether the limits are the platform's or the tool's. Meta's rate limits apply to everyone. A tool that adds its own caps on top should say so.
