How does an agency run DM automation for ten clients?

We manage social for about ten brands and we are currently logging in and out of a different tool per client. What does a sane setup look like for an agency, and does each client need their own subscription?

One workspace per client, with your team having access to each. The separation is not optional: contacts, conversations and flows belong to the brand, not to your agency.

Why per client rather than one big workspace:

  • Data separation. One client's contacts must never appear in another's audience, and a single workspace cannot guarantee that.
  • Channel limits. Meta connections belong to the brand's Page and account.
  • Handover. When a client leaves, they should be able to take their workspace, not ask you to export a subset.

How the work stays manageable across ten of them:

  • Build your patterns once and copy them in. The comment to DM flow you refined for one brand is the starting point for the next nine, with the copy changed.
  • Keep a naming convention for automations and tags. Future you, looking at a client you have not touched in three months, will read the names before the flows.
  • Give each client's own staff limited access rather than sharing your login. Custom roles let a client see their inbox without touching billing or flows.

One thing to be straight about: there is no agency plan with ten workspaces bundled, so the commercial arrangement is per workspace. Decide early whether you bill it through or ask the client to own the subscription, because moving it later is a conversation nobody enjoys.

The Playbook: Agency multi-workspace article covers the access model.

Having the client own the subscription from day one has saved us two awkward offboardings.
