How do two people share one Instagram inbox without colliding?

There are two of us answering DMs from the same Instagram account and we keep replying to the same person or both assuming the other one did. The native app gives us nothing. How do teams handle a shared Instagram inbox?

Assign conversations. Everything else is a workaround for not assigning them.

The Instagram app has no concept of who is handling a thread, which is why two people in one account always ends up in this state. A shared inbox fixes it with three things:

  • Assignment. A conversation belongs to one person, visibly, and the other sees that it is taken.
  • Status. Open, waiting, closed. A thread waiting on the customer looks different from one waiting on you, which is the distinction that gets lost in the app.
  • Internal notes. A note on the thread that the customer never sees, so context survives a handover.

Two habits that matter more than the features:

  • Assign on open rather than on reply. The collision happens in the seconds between reading and typing.
  • Close threads. An inbox where nothing is ever closed becomes a list nobody trusts, and then people start using the app again.

Automation helps here in a way people do not expect: if the flow answers the three repeated questions, the shared inbox only contains conversations that genuinely need a person, which is a much smaller list to coordinate over.

One setting worth turning on early: an alert for conversations with no reply after a set time. With two people it is the safety net for the thread both of you assumed the other took.
