Instagram post scheduler: plan and auto-publish posts, Reels and Stories with Content Studio
Schedule Instagram posts, carousels, Reels and Stories with your Facebook Page and Telegram channel: posting times, bulk planning, approvals, days off and your own best times.
Posting every day is the advice everyone gives and almost nobody follows, because posting by hand means stopping whatever you are doing at the right hour, finding the photo, pasting the caption and hoping you remembered the hashtags. A post scheduler moves that work to one sitting: you plan the week or the month, and the posts publish themselves at the times you chose. This guide shows how to schedule Instagram posts, carousels, Reels and Stories with Content Studio, together with your Facebook Page and Telegram channel: posting times, the bulk planner, AI captions, approvals, days off, the best time to post from your own audience, and the rules that keep a scheduled post from failing.
Can you schedule Instagram posts automatically?
Yes. Instagram lets professional accounts, creator or business, publish through Meta's official API, and a scheduler uses that API to publish at the minute you chose. You don't need to open the app or be online, and the post appears on your profile as if you had posted it yourself.
What you need:
- An Instagram professional account, connected in Channels.
- A Facebook Page or a Telegram channel, only if you want to post there too.
- The photos and videos, uploaded to the media library or dropped into the planner.
How to schedule Instagram posts, step by step
1. Connect your accounts
Open Channels and connect Instagram. Connect your Facebook Page and your Telegram channel too, where your bot is an admin, to post to them from the same calendar.
2. Set your posting times
In Studio, Posting times, set the times each account posts, such as 09:00 and 19:00 for Instagram and 12:00 for Telegram. You set them once; they are the slots every new post fills.
3. Create a post
Pick the format, add the photos or videos and write the caption. Choose where it goes: Instagram, the Facebook Page, the Telegram channel or several at once.
4. Pick the time, or let the queue pick it
Choose a date and time, or add the post to the queue and it takes the next free posting time.
5. Check the grid, then schedule
The Instagram grid preview shows how the next posts sit next to the last ones, so the feed looks planned. Drag posts to reorder them; the queue keeps every post on a free time.
Which Instagram formats can you schedule?
| Format | What you can schedule |
|---|---|
| Single post | One photo or video with a caption |
| Carousel | Up to ten photos or videos in one post |
| Reel | A vertical video with a caption |
| Story | A photo or video story |
The same post can go to your Facebook Page and your Telegram channel at the same time, so subscribers there get the news the moment it is live.
How to plan a month of Instagram posts in one sitting
The bulk planner is for the afternoon you set aside for content:
- Drop the files. Thirty photos and videos become thirty posts, one file each.
- Spread them. Choose two dates, and the posts are spread across your posting times between them.
- Or import a CSV. A spreadsheet with the captions and dates becomes the plan.
- Review the calendar. Move a post by dragging it; the rest keep their places.
A month planned in one sitting is the difference between posting when you remember and posting every day.
Write captions faster with AI
On a paid plan with your own AI key, write a short note about the post, such as "autumn drop, linen, four colors", and get a caption to edit. The caption stays yours: AI drafts, you decide what goes out.
A few rules every caption follows:
- Up to 2,200 characters, the most Instagram takes.
- Five hashtags at most, counted across the caption and the first comment, Instagram's limit per post.
Approval workflow for teams and agencies
When more than one person posts, mistakes reach the feed. Content Studio has an approval step:
- Writers ask for approval instead of posting, with the time they want.
- An approver schedules in one click, at the time the writer asked for.
- Needs a change? The post goes back to drafts with a note, and nothing goes out.
Agencies use it to keep the client in the loop; brands use it so the intern's post is checked before it is public.
Days off and pausing everything
- Days off. Mark holidays and quiet days. A post that lands on one waits until you move it, so nothing posts on a day you closed.
- Pause everything. One switch for a hard day: every scheduled post waits on every account, and nothing is deleted.
What is the best time to post on Instagram for you?
General charts of "the best time to post" average millions of accounts that are not yours. Content Studio suggests your best times from the hours your own followers message you most. With too few messages to tell, it doesn't guess.
Use the suggestions as posting times, then watch how each post does.
See how each post performed
Likes, comments and shares sit next to every published post, so you can see which formats and times your audience answers. Group posts into a campaign, such as an autumn drop, move the whole campaign by days in one go and read its report.
What happens if a scheduled post fails?
Platforms refuse a post now and then: a file in the wrong shape, a connection that needs a fresh login. Content Studio retries a failed post after one, five and fifteen minutes. A post that still can't go out is marked on the calendar, so you see it and fix it, instead of finding a gap in your feed a week later.
Keep your photos and videos in the media library
Every file you upload stays in the media library, ready for the next post. Reuse a product photo in a carousel, a Reel clip in a Story, or last season's best image for a throwback, without hunting through your phone. Files dropped into the bulk planner land there too.
Post now when the news can't wait
Skip the calendar: Post now publishes at once to the accounts you pick. Use it for the announcement that can't wait for the next slot.
How often should you post on Instagram?
Consistency beats volume. A schedule you can keep for three months does more than a burst of daily posts that stops after two weeks. A workable start for most businesses:
- Three to five feed posts a week, mixing carousels, single posts and Reels.
- Stories most days, for the small updates that don't deserve a post.
- One planning session a week or a month, so posting never depends on remembering.
Raise the pace when the planning session gets easy, not before.
A weekly Instagram content plan you can copy
| Day | Format | Idea |
|---|---|---|
| Monday | Carousel | A how-to or a list: "5 ways to style the linen shirt" |
| Tuesday | Story | A poll or a question box |
| Wednesday | Reel | Behind the scenes, a quick demo, a before and after |
| Thursday | Single post | A customer photo or a review, with permission |
| Friday | Reel | The week's best seller or the weekend offer |
| Saturday | Story | Opening hours, a reminder, a countdown |
| Sunday | Carousel | A recap of the week or a guide people save |
Plan it once in the bulk planner and change the topics each week.
How to write captions that get comments
- Open with the point. The first line shows before "more"; make it the reason to stop.
- Ask one question. "Which color would you pick?" gets more answers than "Let us know what you think".
- Give a reason to comment. "Comment GUIDE for the free size chart" turns a caption into a conversation.
- Keep the hashtags few and exact. Five that describe the post beat thirty that don't.
Schedule Telegram channel posts
A Telegram channel is a broadcast to everyone who joined. Content Studio posts to it from the same calendar as Instagram, at its own posting times, so the channel gets the news at noon while Instagram posts at nine. Your bot needs to be an admin of the channel.
What to look for in an Instagram scheduler
- Every format. Posts, carousels, Reels and Stories, not just single images.
- Auto-publishing through the official API, not a reminder that asks you to post by hand.
- Posting times per account, so each audience gets its own rhythm.
- Bulk planning, for a month of content in one sitting.
- Approvals, if more than one person writes.
- Retries and clear failures, so a refused post never disappears quietly.
- Insights from your own audience, not a generic chart.
Instagram scheduling ideas by business
- Online shops. A product carousel every Monday, a Reel of the week's best seller on Thursday.
- Creators. A month of Reels planned in one sitting, Stories every morning.
- Restaurants and cafés. Today's special at 11:00, the weekend menu on Friday.
- Salons and studios. Before-and-after posts with the booking prompt in the caption.
- Agencies. Each client's calendar, with approvals before anything goes public.
Pair scheduled posts with DM automation
A post that asks for a comment works better when every comment gets an answer. Schedule the post with "Comment GUIDE and I'll send it" in the caption, and a comment to DM flow sends the guide to everyone who comments, while you are away from the phone.
Common mistakes with Instagram scheduling
- Posting times nobody checked. Start from your best times, not from a generic chart.
- Too many hashtags. More than five per post breaks Instagram's limit.
- No days off. A cheerful post on a day you are closed for a holiday reads badly.
- Ignoring the grid. Three dark photos in a row look like a mistake on the profile.
- One person, no approval. A typo in a scheduled post goes out on its own.
