How to get catering inquiries from Instagram and turn them into quotes, deposits and booked events
Collect the date, guest count, service style and dietary needs in the chat, quote from a complete brief, hold the date with a deposit and get final numbers in time.
"Do you cater a 60th, around 50 people?" is how most catering work begins: a date, a rough number and a hope that you're free. To quote it you need the event type, the service style, the real guest count, the venue and the dietary needs, and getting them takes three days of back and forth. By then the client has asked two other caterers. ChatinFlow collects the whole brief in the chat, opens the inquiry as a deal for your team, takes the deposit once the quote is accepted and checks the final numbers before you order from suppliers. This guide shows caterers and private chefs how to answer catering inquiries on Instagram and Messenger, what to ask, how to quote faster, how to hold dates with a deposit and how to avoid the last-minute guest count surprise.
Why catering inquiries go cold
Catering clients rarely compare menus first. They compare who answered. The ones who go cold usually do so because:
- The first reply asks more questions. "What date? How many people? What style?" in a long message feels like homework.
- The quote takes days. Each answer arrives hours after the question.
- There's no next step. A quote with no way to say yes and hold the date waits until the client forgets.
A catering inquiry flow asks the questions as taps, builds the brief while the client is still interested and makes the yes one tap away.
What to ask in a catering inquiry form
The questions that decide the price and whether you can do the event:
- Event type. Birthday, wedding, corporate lunch, funeral reception, private dinner.
- Date and time.
- Guest count, as a range first: under 20, 20 to 50, 50 to 100, more.
- Service style. Buffet, plated, family style, canap茅s, drop-off.
- Venue. Their home, a hall, an office, and whether there's a kitchen.
- Dietary needs. Vegetarian, vegan, halal, gluten-free, allergies.
- Budget, as a range, if you want to steer the menu.
Each answer is saved to the contact and the deal. Ask the most important ones first; if the client stops, your team still has the date and the size.
A website form works too: when someone sends one of your website forms, the contact is found or created from the email or phone they typed, and the same flow can follow up in the chat.
How to quote catering faster
Most of the time a quote takes goes into collecting facts. With a complete brief, the first reply can be the quote.
- Standard menus. The flow sends your price per head for each standard menu, with what's included, as soon as it knows the guest count and style.
- Custom menus. The flow collects the brief, opens a deal and tells the right person, who replies with the quote in the same thread.
- Minimums. If you have a minimum guest count or spend, say it before the quote, so nobody is surprised.
A catering sales pipeline: from inquiry to booked event
Each inquiry becomes a deal you can move through stages: new, quoted, accepted, booked, done. Nothing waits in someone's phone, and you can see at a glance:
- Which inquiries need a quote, the deals in new.
- Which quotes are undecided, the deals in quoted for more than a few days.
- What's booked next month, with the dates and guest counts.
Deals are assigned to whoever owns the conversation, and anyone on the team can see the brief, the quote and the deposit status in one place. A task can remind the person who quoted to follow up two days later.
Catering deposits: hold the date with money, not promises
A date held without a deposit is a date you can't give to anyone else. The moment the client says yes, a Buy button with your deposit appears in the chat. The client pays on Stripe or PayPal checkout, the money goes straight to your account, and the deal moves to booked. Until it's paid, the date stays open for someone else.
Say the terms before the button: how much, what it holds, when the balance is due and what happens if the event moves.
How to get final guest numbers on time
The guest count that changes three days before the event is the caterer's oldest problem. Save the event date to the contact. A date rule sends a message a set number of days before it, for example fourteen:
When the client answers, the new count is saved, and the person who quoted is told straight away. You change your supplier order in time, not the night before.
A message two weeks after the last chat may be outside Instagram's and Messenger's 24-hour window, so it won't reach the client there. On WhatsApp, a template Meta approved reaches them whatever the date. Ask for a WhatsApp number when the deposit is paid, for the final numbers and the day-before message.
Dietary requirements without mistakes
Dietary needs decide the menu and the risk. Ask them as taps, save them on the deal and repeat them back in the quote: "12 vegetarian, 3 vegan, 1 nut allergy". Allergy questions you need to check yourself go to your team instead of an automatic answer.
Corporate catering and repeat clients
Office lunches and corporate events repeat. Tag corporate clients and save the contact's role. When a regular client asks for "the usual for Thursday", your team sees the last order in the conversation and the deal history, and quotes in a minute. Seasonal offers, such as holiday party menus, can go to corporate clients who opted in, at a sensible hour in their own time zone.
Instagram posts that bring catering inquiries
- The setup reel. An empty hall becoming a buffet in thirty seconds, with "Comment EVENT for a quote".
- The menu carousel. Three menus with prices per head, and "DM MENU for the full list".
- Behind the kitchen. The prep for 200 people, which shows you can handle size.
- The client's thank-you, with permission, as a story.
- Seasonal menus. Holiday parties, summer weddings, graduation season.
Each keyword starts the inquiry flow, so a comment becomes a brief.
Catering inquiry reply templates
Private chefs: dinners and tastings
Private chefs get smaller, more personal inquiries: a dinner for eight, an anniversary, a tasting menu at home. The same flow works with different questions: the occasion, the number of guests, the kitchen at the house, the cuisine they love. A booking step can offer the evenings you're free, and a Buy button takes the deposit.
Wedding catering inquiries
Wedding couples ask earlier and compare more. Their questions are different too: tastings, the timeline of the day, staff, bar service, the cake. A wedding path in the flow asks the date, the venue, the guest count and the style, then offers a tasting with a booking step, so the couple meets you before they compare quotes. A couple who has tasted your food is no longer comparing prices.
Save the wedding date to the contact. The final numbers message, the timeline check a month before and the thank-you after the day can all be timed from it.
Measure catering inquiries and quotes
The pipeline shows where events are lost:
- Inquiries per month, and how many got a quote within a day.
- Quote to deposit rate. Low means the price or the follow-up needs work.
- Time from inquiry to quote. The faster you quote, the more you win.
- Events by source. Tags show whether the event came from the setup reel, a story or a returning client.
When a deposit is paid, a conversion step can record the event's value on the contact, so the reports show what the chats brought in.
Is it right for your catering business?
It suits caterers and private chefs who quote events from messages, teams that take a deposit to hold a date, and businesses with more inquiries than they can quote by hand. It is not for food delivery apps with fixed menus and live order tracking, caterers who only work through event agencies, or anyone who wants the chat to price custom menus on its own.
A week-one plan for a caterer
- Day 1. Write the inquiry questions as taps and save each answer to the deal.
- Day 2. Set up your pipeline stages and assignment.
- Day 3. Write the standard menu answers with price per head.
- Day 4. Add the deposit Buy button after the quote.
- Day 5. Set the final numbers date rule, fourteen days before the event.
- Day 6. Post a setup reel with "Comment EVENT".
- Day 7. Check the pipeline: which quotes are waiting?
Common mistakes caterers make with inquiries
- Quoting without the guest count. The quote changes, and trust with it.
- No deposit. Dates held by promises get canceled by silence.
- Final numbers by memory. A date rule asks; a busy team forgets.
- Dietary needs in a chat thread. Save them on the deal where the kitchen sees them.
Catering inquiry FAQ
Can it send a quote automatically?
It can send your price per head for standard menus. Custom menus are quoted by you: the flow collects the brief, opens a deal and tells the right person, who replies in the same thread.
How does it know when to ask for final numbers?
The event date is saved to the contact. A date rule sends the message a number of days before it, for example fourteen, and saves the new count when the client answers.
Can several people on my team handle inquiries?
Yes. Deals are assigned to whoever owns the conversation, and anyone can see the brief, the quote and the deposit status in one place.
Can clients pay the balance in the chat?
Yes, with a second Buy button for the balance amount, through your own Stripe or PayPal account.
